This policy explains what personal data we hold about you, why we hold it, who sees it and how long we keep it. It covers this website, enquiries you send us, and the coaching itself. We have tried to write it so you can read it in one sitting.
Logic of Leading is an executive coaching practice. Coaches who work under the Logic of Leading name follow this policy. We offer confidential one-to-one executive coaching for senior leaders (directors, executives, founders and heads of function), online, or in person where a coach is based.
The practice is operated by [GRANT: confirm entity], which is the data controller for the personal data described here. In plain terms, that means we decide what data is collected and how it is used, and we are responsible for looking after it.

Coaching follows the ICF Code of Ethics, which includes a duty of confidentiality to you.

We collect as little as we can. Here is what we hold, where it comes from, and what it is for.
Booking details. When you book a chemistry call or a session, you give the booking provider your name, your email address, the time you chose and anything you type in the notes box. The booking provider passes those details to us so we know who is coming and when, and so we can keep a record of sessions.
Emails you send us. If you write to hello@logicofleading.com, we keep your email and our reply so we can deal with your enquiry and remember what was agreed. If you contact us on behalf of an organisation, that includes your work contact details and what you tell us about the engagement.
Details from a sponsor. If your employer contacts us about coaching for you, we receive your name and work contact details from them. We will point you to this policy when we first contact you, and nothing about you is recorded beyond that until you decide to go ahead.
Coaching agreement and billing. When coaching begins we hold the details needed to run and invoice the engagement: your name, contact details, the goals agreed at contracting and, where an employer pays, the company name, billing address and purchase order details.
Coaching records. After each session your coach keeps brief notes of the themes you worked on and the actions you set yourself. Notes are not a transcript and are not written word for word. Sessions are never recorded, even if you ask. Notes are kept in the site's database in London, encrypted before they are stored with a key the database never holds, and only your own coach can read them; the practice's administrator cannot, and every time a note is read or changed is logged. Notes are kept minimal so they hold as little sensitive detail as possible. If something sensitive needs to be written down, for example about your health or wellbeing, we will ask for your explicit agreement first, record that you gave it, and delete that detail if you later withdraw it. You can ask at any time to see what is held about you.
Coaching hours log. We keep a record of the dates and length of sessions and who they were with, because the coaching qualifications we are working towards (ILM and ICF) require it. The bodies that award them may ask to see the log, including your name and the session dates, to verify hours, and ICF may contact you to confirm that sessions took place. Your coaching sessions count towards those hours once you have signed the coaching agreement, which explains this in its own paragraph; our legal basis is our legitimate interest in the coaches' professional accreditation. You can say no at any time, with no effect on your coaching: a tick on your account's details page, a word to your coach, or an email to us, and your sessions are left off. ILM receives the log without names.
Questions you type into the chat panel. The site has an automated question answerer. What you type is sent, with the site's own public pages, to an AI service (Anthropic's Claude) to compose a reply, and is not stored by us or used to train the AI. Please do not type personal or confidential details into it. If you ask to be passed to a person, the email address and message you give, the conversation you had with the chat panel, and a short summary of it are emailed to the practice and kept in our enquiries list so a coach can reply without you repeating yourself.
Your account. You can sign in to see and manage your sessions. To do that we hold your email address, your name once you give it, and, if you choose to tell us, your organisation, your role and who is paying for the coaching. Sign-in is by a code we email you or through Google; we never hold a password. Your sessions are copied from the booking provider into your account so you can see them in one place, along with a record of any cancellation and who made it. The site keeps a log of changes to your account and sessions so we can answer "who changed this and when". You can download everything the site holds about you from Your details, and close your account there too. Closing removes your name and addresses at once and deletes your goals, reflections and session feedback; session records are kept without your name for six years, as tax law requires, and your coach's notes are kept encrypted without your name for the period set out below. Invoices already issued keep the billing name on them for six years, because tax law requires an invoice to say who it was issued to. Your coach's notes are never shown in your account; to see what your coach holds about you, ask them or email us.
Booking through a coach's card or booking link. When you book through a coach's digital card or the booking link they share themselves, the name and email address you give the booking provider create your account record when you book, and the booking is attached to it. The same happens when a sponsor books a call through the version of the card for organisations. Once you are able to sign in, we send you one email to say so and how; from then on you sign in with that address and see your bookings. You can ask us to remove your details at any time by writing to hello@logicofleading.com, and once you can sign in you can also close the account yourself from Your details.
Your goals and reflections. In your account you can write down what you want from the coaching (your goals, in your own words, with your own rating of progress) and private notes before and after a session (reflections). They are yours. Goals are encrypted before they are stored and shared with your coach unless you say otherwise; a sponsor sees only the title and progress of a goal you have chosen to share, never the text. Reflections are encrypted before they are stored, with a key held by the site and never by the database, and the site shows them to nobody but you: not your coach, not the practice. Nothing on the site reads them to anyone else. A short feedback form after a session (two ratings and an optional line) goes to your coach as your view of the session, not as a mark of anyone. All of it is deleted when you close your account, and a reflection you delete yourself is gone for good thirty days later.
Alex in your account. Signed-in clients and coaches can ask Alex, an assistant that answers from their own records, questions like "when is my next session" or "how many sessions has this client had". When you ask, the question and a plain summary of the records you are allowed to see are sent to an AI service (Anthropic's Claude) in the United States to compose the answer. For a client that is your first name, organisation, job title, your sessions and the titles of your goals; for a coach it is their clients' names, organisations and sessions. Coaching notes, reflections, goal text and anything said in a session are never sent. The provider keeps what it receives only for the short period its standard terms allow for safety checks and does not use it to train its models; the practice keeps a count of questions and tokens per person, never the conversation. Alex makes no decision about you: it answers questions and nothing else.
Website analytics. We use two analytics services to see how many people visit the site, which pages they read and roughly where they came from: Vercel's own cookie-free analytics, and Google Analytics running in its cookieless mode (every kind of storage switched off, so it sets no cookie and keeps no identifier on your device; Google fills in totals by modelling). Neither identifies you, and we could not pick you out of them if we tried. Google processes its share in the United States under the standard contractual safeguards UK law recognises. Analytics never runs inside the signed-in account area.
Cookies. The site sets a cookie only when you sign in, to keep you signed in; it is strictly necessary for the account to work and is removed when you sign out. Otherwise the site sets no cookies. Your choice of light or dark mode is saved in your own browser and never sent to us. When you open the booking window, the booking provider runs its own service inside it and may use cookies to make the booking work. Its own privacy policy applies to that.
UK data protection law asks us to say which legal reason we rely on for each use of your data. Ours are:
We share your data with as few people as possible, and only to run the practice.
We do not share your data with anyone else. We never sell it, and we never pass it on for marketing. The only exception would be if the law required us to disclose it, or if there were a serious risk to someone's safety, and we would tell you if we could.

To use any of these rights, email hello@logicofleading.com. There is no charge. We may need to check who you are first. We will reply within one month, which is the time the law allows, and usually much sooner.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk.
Coaching notes, goals and reflections are encrypted before they reach the database, with a key the database never holds; the site shows notes only to your coach and reflections only to their author. The account database applies its own access rules so that a coach can only ever see their own clients and a sponsor only what is listed above, and every change is logged. Notes are kept minimal so there is less to protect. Where we can choose, we prefer providers that host data in the UK or EU; where data goes further, the safeguards described under Who we share with apply. If something ever went wrong and your data was put at risk, we would tell you and the ICO as the law requires.
We may update this policy as the practice grows or the law changes. The date at the top shows when it was last changed. If a change affects what we collect or who we share it with, we will tell current clients directly.
